Privacy policy

KodiGuard Tanzania Limited of Dar es Salaam, Tanzania operates KodiGuard and decides how the information described here is used. Contact us at support@kodiguard.co.tz about anything in this policy.

• Account details — name, email address, phone number and password (stored only as a secure hash).
• Business details — business name, TIN and VRN status, business type, employees, financial year end and the people you invite.
• Records you enter or upload — receipts, invoices, sales, expenses, payroll, statements, TRA letters and supporting documents.
• Payment information — amount, reference, method and status. Card and mobile-money credentials are entered with the payment provider, never on our servers.
• Technical information — log and device data needed to run and secure the service.

To provide the service you asked for: storing your records, reading receipts, preparing workings, producing filing packs, sending reminders, answering support requests, taking payment, and keeping the service secure and free from abuse. We do not sell your information, and we do not use your business records for advertising.

• Cloud hosting and database providers that store your account and records.
• An AI provider used to read receipt images and generate explanations you request.
• Our Tanzanian payment gateway, for subscription payments.
• An email provider, for account, reminder and support emails.

These providers act on our instructions under contract. Some are located outside Tanzania, so your information may be processed abroad with appropriate safeguards in place.

Only you and the people you invite to your business, with the access their role allows. Our staff access account data only when needed to support you or to protect the service. We disclose information to authorities only where the law requires it.

We keep your records while your account is open, and for a period afterwards where Tanzanian record keeping and tax law require it. You can ask us to delete your account, after which we remove or anonymise information that we are not legally required to retain.

Access is protected by authentication and row-level access rules so one business cannot see another's data. Traffic is encrypted in transit and documents are stored in access-controlled storage. No system is perfectly secure, so please use a strong, unique password.

You may ask for a copy of your information, correct it, export your records, or ask for deletion. Write to support@kodiguard.co.tz and we will respond within thirty days.

We use only the cookies and local storage needed to keep you signed in and to remember basic preferences. We do not use advertising cookies.

If we change this policy we will update the date above and, for significant changes, notify account owners by email. See also our terms of use.
